Membership and renewals

Always know who’s a member and who’s paid.

From the first enquiry to the yearly renewal, the member list keeps itself up to date. Mark somebody paid and they’re financial: there’s no second list to keep.

Joining

From a first enquiry to a new member.

They enquire

An expression of interest form on your website that lands as a new prospect for the right person to get back to.

They apply

The application goes to them by email, with what you captured from their initial enquiry already filled in. Their answers, emergency contact included, go straight onto their record.

They join

Each enquiry shows how long it has waited, so nobody falls through the cracks. When the committee says yes, one button makes them a member.

Fees

Every kind of member, and whatever your rules say.

Ordinary, associate, social, life: as many classes as your rules have, each with its own fee and its own say in whether they vote, hold office or use the workshop.

  • Somebody joining in March pays what your fee policy says: the whole fee, a share of it, or nothing until next year.
  • Next year’s fee, set at the AGM, is kept apart from this year’s.
  • After the deadline, members who have not paid lapse, or are deemed to have resigned, as your rules dictate.
  • A late payment puts them straight back
Paying

Paid into the shed’s own account.

Members pay the way they always have, by transfer, cash or cheque, or by card if the shed connects its own Stripe account. The money goes to the shed, never through us, and marking somebody paid takes a moment.

If your Treasurer uses Shed Manager for the accounts, fees become invoices, emailed with the shed’s bank details and the invoice number to use as the reference. The bank statement is matched against them, and if you switch reminders on, a polite one goes to anybody who hasn’t paid.

Emergency contacts, kept current

Once a year, one button asks every member whether their emergency contact is still right. They answer from the email, and anyone without email is listed so somebody can ring them.

When somebody leaves

Record the reason and the date. On their last day they come off the roster and their sign-in stops. Nothing is deleted, and if they come back their history is waiting.

Mailouts to the right list

Email every member, the committee, the ones who owe fees, or any list you choose, from the shed’s own address.

What treasurers ask

Can members pay by card?Yes, if the Treasurer uses Shed Manager for the accounts and the shed connects its own Stripe account: every invoice gets a Pay online button. The money goes straight to the shed, Shed Manager takes nothing, and no fee is added to what the member pays. Transfers, cash and cheques work as they always have.
Can we bring our spreadsheet across?Yes. Upload it as it is, Excel or CSV, and see what it found before anything is saved. Members already there are matched by email, not doubled up.
Do members have to use a computer? No. Invitations, invoices and the yearly emergency contact check all come as an email they answer without logging in. There is a phone app for those who want it, and the committee can do anything for a member who would rather ring.
